How to Set Up a Zoom Meeting
and Invite Others
This guide will walk you through the steps to set up a Zoom meeting and invite others to join. Follow these steps carefully to ensure your meeting is successfully scheduled and participants can easily join.
Open Zoom App or Website – Launch the Zoom desktop app or go to zoom.us and log in to your account.
Click on “Schedule” – On the home screen or dashboard, click the “Schedule” button to set up a future meeting.
Fill in Meeting Details – Enter the meeting name, date, time, duration, and choose whether it repeats. Set your time zone correctly.
Adjust Security Settings – Set a Meeting Passcode and enable Waiting Room if needed for extra security.
Set Video & Audio Preferences – Choose whether the host and participants’ video/audio are on or off when the meeting starts.
Select Calendar Integration – Choose Google Calendar, Outlook, or Other Calendars to automatically generate an invite link.
Click “Save” – Once everything is set, click Save. Zoom will create the meeting and give you a Meeting ID and Invite Link.
Send the Invite – Share the invite link or use the calendar integration to email participants the meeting info directly.
