Sharing on Zoom

This guide provides a step-by-step process to enable screen sharing in Zoom meetings. Follow these easy steps to manage sharing permissions and allow participants to share their screens.

  1. Open Zoom App or Web Portal – Launch the Zoom desktop app or go to zoom.us and log in to your account.

  2. Start or Join a Meeting – Either create a new meeting or join as the host of an existing one.

  3. Click the Arrow Next to “Share Screen” – In the meeting controls at the bottom, click the small arrow (˄) next to the green “Share Screen” button.

  4. Select “Advanced Sharing Options” – From the dropdown menu, click on “Advanced Sharing Options…” to open screen sharing settings.

  5. Change “Who Can Share?” Setting – Under the “Who can share?” section, select “All Participants” if you want to let everyone share their screen.

  6. Choose “Only Host” if Needed – If you want to restrict sharing, select “Only Host” — this can be toggled any time during the meeting.

  7. (Optional) Pre-set in Web Settings – Go to your Zoom account on the website → SettingsIn Meeting (Basic) → Enable Screen sharing and select who can share by default.

  8. Apply Settings and Close – Close the popup, and the updated screen sharing settings will apply immediately for the meeting.
